Subject: Quick reminder about invoice [invoice no.]

Dear [client],

I hope all is well with you. This is just a gentle reminder that invoice [invoice no.] for [amount] was due on [due date]. These things slip through easily, so I suspect it has simply been overlooked.

If the payment is already on its way, please ignore this note, and thank you. Otherwise, we would be grateful if you could settle it when you get a chance. If you need another copy of the invoice, or if anything on it is unclear, just reply and I will sort it out.

Thank you for your business. It is always a pleasure working with you.

Kind regards,
[your business]

When to use which tone

  • A few days late: assume oversight, go friendly.
  • Two to three weeks: go firm. Name the amount and the days overdue, and ask for a firm payment date.
  • A month or more of silence: final notice, then decide what the next step actually is before you promise one.

One Mauritius-specific point: there is no default statutory interest on late B2B payments here. What you can charge is whatever your agreed terms say, which is a good reason to put payment terms on every invoice you send.

Biro keeps the list for you

Biro tracks who owes you what, flags invoices as they age, and reminds you before things get awkward. The friendly note goes out on day three instead of day thirty.
